MAJOR DUTIES & RESPONSIBILITIES
Specific
- Manage supervisor’s schedule, claims and provide support to Quality’s team members.
- Organise various training workshops and support key meetings e.g. COP according to calendar from registration to post-event follow-up e.g. workshop assignments.
- Monitor common training email box and manage information or communications flow e.g. circulation of EDMs, respond to email queries.
- Maintain and update training records for every workshop and work with executive for reporting.
- Make purchases for the department in accordance to procurement guidelines by seeking timely approvals, accurate entries and filings.
- Review and update training administrative policies and standard operating processes.
- Support the preparation and submission of delegates to local or overseas conference trips.
- Assist team in annual training budget preparation and provide regular updates.
- Organises department team bonding activities to promote and strengthen camaraderie.
- Oversee and purchase office / training supplies. Update departmental intranet and digital workspace.
- Manage incoming and outgoing documents and billing in a timely manner including courier services and postage, name card printing, etc.
- Assist in on-boarding process for new staff including scheduling of orientation sessions, application of IT access, etc.
General
- Provide secretariat functions such as minutes-taking for department meetings.
- Any other duties or project as assigned by Head of Department (HOD) and/or supervisors.
Job Requirements
- Diploma in Business Administration or equivalent.
- Proficient in Microsoft Office applications is a must (MS Word, Excel, PowerPoint).
- Possess good written and verbal communication skills.
- Excellent interpersonal, organized, able to adapt to changes and work independently with minimum supervision.
- Possess initiative, self-motivated and positive working attitude with attention to detail and meticulous nature.
- Strong team player with ability to work in dynamic team and build good rapport with staff within and in other departments.
