What to Expect
The Cathode workplace operations team is responsible for maintaining non-manufacturing facilities and providing soft services to engineering, sales, service, energy, and general and administrative teams. Operations Coordinators are the leaders of day to day workplace coordination, yet also work closely with workplace management to devise solutions to drive the long term workplace strategy.
What You’ll Do
- Ensure an outstanding & fun experience in the workplace by assisting in continuous monitoring of ALL space throughout the facility.
- Track workplace budget and PO creation. Make sure that invoices are submitted correctly and paid.
- Manage the email alias. This email should be the source for all WP/Facility requests.
- Track all WP requests and dispatch to the appropriate WP member. It is the coordinators role to confirm all requests and seen through completion. Some tasks may involve all coordination, scheduling, and purchase order oversight.
- Conduct facility audits and building inspections to ensure facilities are maintain to specific standards.
- Oversee workplace vendors through the on-boarding process to complete all required documentation and ensure a strong working relationship.
- Receive, track, and prioritize workplace requests from employees. Dispatch the associate team to execute and see through completion.
- Create and manage work orders with outside vendors. Ensure that vendors are following up and completing jobs in a timely manner.
- Ensure that Tesla safety protocols are being met and aligned with EHS.
- Coordination of furniture deployment and maintain the furniture inventory.
- Oversee workplace vendors through the on-boarding process to complete all required documentation and ensure a strong working relationship.
- Office move coordination with end-users and vendor management.
- In conjunction with other workplace teammates, assist with WP process creation, implementation and maintenance. Always consider CIP—continuous improvement process!
- Maintain stock of office supplies and breakroom amenities.
What You’ll Bring
- Bachelor’s Degree and 1+ years of experience in a corporate setting.
- Basic knowledge and high interest in facilities management, workplace services, furniture systems, space planning, and event planning.
- Positive attitude & “can-do” mentality that is customer service oriented!
- Excellent listening skills, organizational skills, & strong communication skills.
- Strong work ethic, proven follow-through skills—a leader yet a team player!
- Ability to multi-task and work in a fast-paced environment under constant changing priorities and demands.
- Ability to see the big picture, yet still be detail oriented.
- Ability to have the project mindset—what will it take to oversee this through project close out.
- Proficient in Microsoft Office Suite & competent computer skills.
- Ability to work weekends/night as needed in order to meet the schedule demand.
- Must have command of the English language, both written and verbal
