What You Will Do:
This position provides administrative support for the Director, Distribution, Textile and Transportation Engineering Services, and oversees the general needs of team members. You will handle multiple priorities including managing calendars and coordinating meetings across time zones, creating written communication, making travel arrangements, and taking a proactive approach to ensure the team and office are organized and efficient. In this role, you will interact with Cast Members at all levels as well as external partners and be a proactive member of the team by contributing ideas for continuous improvement.
Every day in this role is different! On any given day you might:
- Proactively review the day/week/month and resolve conflicts in a timely manner, block calendar for travel time, set up VTC (as needed) & reserve resources (conference room, vehicle, etc.) as needed
- Ensure the phones are covered and answered in a professional manner
- Strive to be a subject matter expert and supportive with all those who contact the Executive
- Attend meetings to take notes as well as follow-up on action items
- Manage project tracking and follow-up
- Track team time off using Labor Reports in SAP
- Develop strong relationships with peers and partners
- Coordinate team events/celebrations (Flowers, plants, cards, Retirements, Service awards, bios, Magic Backstage, etc.)
- Support Confluence site for communicating updates to cast
- Understand, stay updated, educated and comply with all Company policies, including attendance
- Ensure Executive’s requests are dealt with immediately
- Anticipate the changing needs of the Executive and fulfill them on a daily basis
- Identify & analyze problems, gather relevant data, initiate effective solutions within Disney standards
- Leverage all available resources to stay current on latest technology that support productivity
- Assist Executive with operation and use of electronic and mobile devices such as Iphone, PC, Ipad, etc.
- Proofread all communications from the office of the Executive
Required Qualifications & Skills
- Minimum 3 years Secretary 1 experience or equivalent
- Demonstrated ability to organize and multi-task, while delivering quality work within deadlines
- Demonstrated time management, detail oriented and strong follow-through skills
- Demonstrated problem solving and decision making skills
- Demonstrated strong verbal and written communication skills in addition to telephone etiquette skills
- Proven ability to build working relationships, influence all levels by being knowledgeable and credible
- Ability to work in a fast paced, dynamic team environment with a minimum of direction or follow-up
- Demonstrated computer proficiency within a Windows environment including Word, Excel, PowerPoint, Outlook, SAP and Workday
- Self-directed with ability to leverage and network to maintain an offsite operation with Disney Values, culture and heritage
Preferred Qualifications
- Minimum 3 years executive secretarial experience supporting Director level or above
- Walt Disney Company experience including knowledge of company policies, culture and operating practices
- Prior administrative or leadership experience
- Ability to operate all standard office and conference room equipment, including VTC
- Experience in developing professional presentations
- Bilingual (Spanish preferred)
Education
- Required: A.A. or some continuing education after High School
- Preferred: B.S., B.A. or MBA preferred
The hiring range for this position in Anaheim, CA is $50,000.00 to $66,900.00 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
