McCarthy is seeking a qualified and dedicated full-time Accounting Administrative Assistant to support our construction materials yard and office team. The ideal candidate will be able to work in a fast-paced environment, have excellent customer service and telephone skills, be able to juggle multiple priorities, and have a strong attention to detail.
Key Responsibilities
Accounting Administration:
- Assist Project staff with accounting and maintenance of cost reports.
- Set up vendor accounts for the Yard and Jobsites as required.
- Process (or assist in processing) weekly payroll.
- Assist Staff in processing monthly Yard Billings to the Jobsites.
- Equipment Rental Data Entry
- Process vendor invoices daily in COR360.
- Reconcile monthly vendor statements.
- Upload receipts and enter job number and task codes for credit card monthly transactions.
- Assist Fleet Manager with vehicle registrations, tracking of smog certificates, and vehicle maintenance.
Office Support:
- Answer/direct incoming calls and take messages as necessary.
- Open and distribute all incoming mail to Yard Staff, Project Staff, and respective Division Offices and package/distribute outgoing mail.
- Keep Yard Directory updated and current and distribute monthly updated Divisional Jobsite Directories.
- Maintain Yard filing system.
- Maintain office supplies/equipment, ordering and scheduling maintenance as necessary.
- Maintain the Yard job site files.
- Schedule office equipment maintenance as necessary.
- Maintain office supplies.
Reporting:
- Process new hire trade employees according to the Policies and Procedure manual.
- Track and maintain supplier records/requirements.
- Assist staff in maintaining the Yard Management Database.
Qualifications
- Must have 3+ years of clerical/administrative experience preferably in the construction industry.
- Must have excellent computer skills and be able to demonstrate proficiency with MS Office products (Word, Excel, PowerPoint, etc.).
- Must be able to work in a fast-paced office environment, able to multitask, meet critical deadlines with an eye for accuracy and attention to detail.
- Ability to work with all levels of project staff and organization.
- Experience with Oracle a plus.

For Southern California locations only, the hourly rate for this position is: $26 to $32. This does not include possible bonus and other benefits which can impact total compensation.
