- JOB PURPOSE
Plan and implement setup activities for ancillary services such as support logistics, portering, transportation and other general support services. Manage and perform regular assessment on the performance of vendors to ensure compliance to Key Performance Indicators (KPIs). Engage stakeholders to develop and/or improve current work streams and close the gap with vendors. Prepare and participate in procurement activities leading to timely opening of WH Campus. Provide secretariat support, record keeping, and other administrative duties as required in the absence of the Executive Assistant.
- MAJOR DUTIES & RESPONSIBILITIES
WH Pre-Opening
Primary Duties
- Support the Manager in planning and implementing departmental work processes.
- Assist to formulate, draft and review standard operating procedures, work instructions and business continuity plans for support logistics services and transport department.
- Reach out and communicate with internal stakeholders to establish handover procedures and ensure seamless transition of care between support logistics attendants and other department users.
- Assist with planning and implementing the job tracking system for WH.
- Orientate and guide appointed vendors on WH Campus layout and wayfinding.
- Work with the appointed vendors to formulate time-table for Go-Live implementation for support logistics services.
- Assist with shortlisting vendor supplied candidates for management and supervisory positions.
Secondary Duties
- Assist to draft and prepare tender documents to support hospital opening.
- Participate in the evaluation of tender proposals.
- Participate in User Acceptance Tests for hospital systems.
- Assist with executing Go-Live activities including conducting Full Dress Rehearsals.
WH Post-Opening
- Conduct joint audits to monitor and manage vendor’s performance.
- Assist in the preparation and evaluation of monthly reports and operating budgets.
- Solicit and manage feedbacks from internal stakeholders and patients.
- Document, investigate and respond to complaints or incidents.
- Assist with the preparation of documents for department audits and hospital accreditations.
- Support internal stakeholders in process improvement initiatives.
- Ensure proper accounting and record keeping of departmental documents.
Other General Duties
- Perform secretariat duties, participate in organization/department projects as assigned.
- Participate in other activities in support of hospital opening as required.
- Perform all other tasks and duties as assigned by the Manager.
JOB REQUIREMENTS
Education / Training / Experience
- Recognized degree.
- Minimum 1 year in a similar capacity, preferably in healthcare, logistics or other services related industry for Executive .
- Minimum 3 year in a similar capacity, preferably in healthcare, logistics or other services related industry for Senior Executive .
- General IT skills and proficient in Microsoft Office applications for the preparation and presentation of reports
- Good command of spoken and written English.
- Knowledge in OJT (on-the-job) training programs and/or ISO 9001, ISO 14001, ISO 18001 Standards is an added advantage.
